For businesses on WhatsApp
AI replies that know your business
Reply Wizard's Business Facts gives suggested WhatsApp replies the facts they need: your opening hours, prices and policies as notes, and your menu or price list as a spreadsheet. From a spreadsheet only the rows that match the conversation are sent, chosen on your own computer. When your facts do not answer a question, the reply says you will check instead of guessing, and nothing is ever sent without you.
How to give WhatsApp replies your business facts
To make Reply Wizard's suggested replies answer from your own business details: open the Business Facts tab in its settings, add your notes or import a price list, then click Suggest Response in a customer's chat. The reply uses your facts and waits in the message box for you to check and send.
-
Open Business Facts
In the Reply Wizard settings, open the Business Facts tab.
-
Add notes or import a table
Write your hours, address, delivery areas and policies as notes, and import a menu or price list from Excel (.xlsx), CSV or TSV, or paste cells straight from a sheet. Try it shows exactly which facts a question would receive.
-
Suggest a reply
In a customer's chat, click Suggest Response. The draft answers from your facts; you read it, edit it and send it yourself.
What you can add
Business Facts takes two kinds of information: up to 8,000 characters of notes, sent with every suggested reply, and up to five tables of up to 2,000 rows and 30 columns each, from which only the rows matching the conversation are sent.
| Notes | Tables | |
|---|---|---|
| Size | Up to 8,000 characters | Up to 5 tables, 2,000 rows and 30 columns each |
| Formats | Plain text | Excel (.xlsx, every filled sheet), CSV, TSV, or pasted cells |
| What a reply receives | All of it, every time | A small table whole; from a large one, only the rows that match the chat |
| Good for | Opening hours, address, delivery areas, payment methods, policies | Menus, price lists, room types, stock, service catalogues |
The matching runs on your computer: rows are ranked against the last few messages of the chat, accents and plurals are folded, so "precios" finds a "Precio" column, and a large table with no match is still named, so the reply knows to check rather than guess.
Does it stop made-up answers?
Yes, in our measurement. Given the same customer questions, suggested replies without business facts answered correctly 3 times out of 24 and invented an answer 13 times; with the facts they answered correctly 24 times out of 24 and invented nothing.
| Answered from the facts | Invented an answer | |
|---|---|---|
| Without Business Facts | 3 of 24 | 13 |
| With Business Facts | 24 of 24 | 0 |
The questions covered opening hours, a price, a two-item order in Spanish, a delivery area that is not served, and questions the facts do not answer, where the right reply is "I will check".
Where your facts go
Your Business Facts are stored in your own browser, not on our servers. Only a suggested reply uses them: the notes and the matching rows travel with that one request to the AI provider you already use, or through our gateway on a Reply Wizard plan, where they are not kept.
Improve and dictation never receive them, because those rewrite what you wrote, and a fact added there would put words in your mouth.
What it does not do
Reply Wizard does not answer customers on its own. It never sends a message, runs no chatbot or auto-reply, does not use the WhatsApp Business API, and does not take orders or bookings. Every reply waits in the message box for you.
Questions
Questions from businesses
Can AI answer my WhatsApp customers automatically?
Not with Reply Wizard, by design. It writes a suggested reply from your business facts and puts it in the message box; you read it and press send. There is no auto-reply and no way for it to send.
Do I need the WhatsApp Business API?
No. Reply Wizard works in WhatsApp Web in your browser. It uses no WhatsApp API and no chatbot platform, so there is nothing to register or have approved.
Can I import my menu or price list from Excel?
Yes. Import an .xlsx workbook, a CSV or TSV file, or paste cells from a spreadsheet. Up to five tables of 2,000 rows each, and only the rows that match the chat are sent with a reply.
What happens when a customer asks something my facts do not cover?
The suggested reply says you will check instead of guessing. Business Facts is written to forbid inventing a price, a time or a policy.
Does it work in Spanish and other languages?
Yes. Replies are written in the language of the conversation, and the matching ignores accents and plurals, so a question in Spanish finds the right rows of a Spanish price list.
Does Business Facts cost extra?
No. It is part of every version of Reply Wizard, with any AI provider, including the free on-device and bring-your-own-key options.
Try it on the next message that arrives
The free version needs no account, no email address and no card, so trying it is cheaper than deciding.
